  1. What personal data will be processed?

A. The personal data We process is what you provide in the form to register the International Technology Olympics: your name and e-mail address, as well as the country from where you register.

B. Records of communications sent to you by NTT DATA Foundation or that We receive from you in relation to the International Technology Olympics.

C. Image and video records captured during the online event, that are either sent to you by NTT DATA Foundation or that we receive from you in relation to the event (for example your chat messages, reactions, camera recordings or any other activities performed while in an online meeting).

  1. What is the purpose of the processing?

We will process your personal data for the following purposes:

A. To reserve a place for you at the International Technology Olympics;

B. To provide you with information about the International Technology Olympics for which you have registered, that includes event updates, and possible changes, cancellation or similar information;

C. To provide you with information about accessibility, transportation, parking, etc. that may impact on your attendance to the International Technology Olympics.

D. To create a promotional video about the International Technology Olympics that we later share on our social media channels.

  1. What is the legal basis for processing your data?

The legal basis for processing for the purposes described above is Article 6 (1) a) of GDPR, i.e. consent, combined with and where applicable also Article 8 (1) of GDPR.

We consider that for all participants regardless of their age (between 8-18 years) the processing of their personal data is lawful only if and to the extent that consent is given or authorised by the holder of parental responsibility over the participant.

  1. Who are the recipients of your data?

The personal data you provide may be communicated to NTT DATA group companies and related foundations, for internal administrative purposes, or for sending commercial communications, if you have consented by ticking the appropriate box. Some of the NTT DATA group companies and related foundations are located outside the European Economic Area (EEA).

In case of transferring data to a third party located in a country outside the EEA, NTT DATA group companies will ensure that adequate measures are implemented for such transfers. Thus, for transfers from the EEA to countries not considered adequate by the European Commission, we have put in place appropriate and suitable safeguards to protect your personal data and that transfer of your personal data is in compliance with the requirements and the obligations provided by applicable data protection laws, such as standard contractual clauses adopted by the European Commission.

We also inform you that your data may be communicated to data processors (technology providers), some of which have processing and/or support centres located outside the European Economic Area.

  1. How long will we keep your data?

Personal data will be kept for as long as you do not revoke your consent, but in no event longer than 5 years from the date of publishing the videos, whichever occurs earlier. Once the revocation has been exercised, which will not be retroactive unless otherwise required by law, your data may be kept blocked for the periods of limitation established by the applicable regulations. If the revocation has been exercised, we will try to, to the extent possible, apply technical measures to delete the Personal Data.

Please be aware that once the Personal Data are posted through third parties it may be technically impossible to delete retrospectively.

  1. Safety Measures

We are committed to keeping your personal data secure, taking all reasonable measures to do so. We implement all necessary organizational and technical measures in accordance with the regulations in force against any unauthorized access and modification, disclosure, loss or destruction. We demand and legally bind our service providers who may handle your personal data to do the same. In this sense, please note that YouTube does not allow you to download videos directly from their site.

  1. What Are Your Rights?

You can request confirmation from NTT DATA Foundation regarding whether your personal data are being processed and, if so, you may access them. You may also request the rectification of inaccurate data or, if applicable, request their erasure where, among other reasons, the data are not necessary for the purposes for which they were collected.

In certain circumstances it is possible to request the limitation of the processing of your data, in which case we will only retain them for processing claims and/or responding to complaints.

You may revoke your consent at any time. Once the revocation has been exercised, it will not be retroactive unless otherwise required by law, and your data may be kept blocked for the prescription periods established by the applicable regulations.

You may also oppose the processing of your data, in which case we will not process your data, except for compelling legitimate reasons or for processing possible complaints.

IMAGE USE AUTHORIZATION

By checking the corresponding box, you consent and authorize, free of charge and without the right to any economic remuneration, and on a voluntary basis, to NTT DATA EMEAL Foundation and any company and entity of NTT DATA EMEAL Group (hereinafter, jointly referred to as “NTT DATA”) to capture and/or record the image and/or the voice and any other personal identification element (hereinafter, the “Image”) of your child or ward, by photography and/or video and/or any other means of capturing and/or fixing images during the virtual final of the International Technology Olympics organized by NTT DATA EMEAL Foundation (hereinafter, the “Event”), either by itself or by any third party authorized by NTT DATA, and to use the Image by any media and/or forms of use, expressly including reproducing, distributing and publishing the Image through the internal channels of NTT DATA, such as the intranet, as well as on external channels such as websites or social media profiles (Instagram, Facebook, Twitter, etc.), online reproduction and/or streaming platforms (e.g. YouTube), meetings, forums, conferences, presentations and publications, as well as through any other media (television, press, etc.).

This authorization is limited to the purposes of internal and external communication, promotion and publicity of NTT DATA and any related or ancillary activities. This authorization is granted on a transferable basis (with the possibility to assign it to third parties), without temporal or territorial limit (for any country in the world).

NTT DATA undertakes to use your Image within the terms and limits established in this authorization, and with scrupulous respect for your personal rights to honour, privacy and own image.
